FamilyFin Documentation
FamilyFin is a comprehensive financial operating system designed for Ghanaian families and small businesses. It combines expense tracking, bill payments, and business management into a single, unified platform.
Family Mode
Track household expenses, budgets, debt, and contribute to Susu groups.
Business Mode
Issue invoices, track inventory, handle vendor bills, and calculate tax liability.
Registration & Setup
To get started, visit the Register page. You will need to provide a "Family Name" (or Business Name) which serves as your organization's identifier.
- Family/Business Name: The display name for your dashboard (e.g., "The Mensahs" or "Ace Consultancy").
- Email Validation: The system ensures unique email addresses for security.
- Verification: Upon registration, an email verification link is generated (simulated in demo mode).
Note: The first user created becomes the Superadmin and has full control over the account settings.
Income, Expense & Budgets
At the heart of FamilyFin is robust transaction tracking. Whether you are managing personal finances or a family pot, accuracy is key.
Recording Transactions
Use the "+" (Plus) button or Voice AI to log transactions.
- Income: Record salaries, gifts, or side-hustle earnings. These increase your Net Balance.
- Expenses: Track daily spending like Food, Transport, or Utilities. These decrease your balance.
- Debt Repayment: Special transaction type for paying off loans.
Smart Budgets
Budgets help you stay disciplined. Go to Settings > Categories to assign monthly limits (e.g., "Food: 1,000 GHS").
Visual Health Indicators
Bills & Goals
Plan for the future with the Bills & Goals module found in Settings. This section helps you organize upcoming obligations and savings targets.
Savings Goals
Create specific financial targets (e.g., "School Fees", "New Car").
- Target Amount: The total amount you need to save.
- Current Balance: Manually update or link transactions to see your progress bar fill up.
- Health Check: Visual indicators show how close you are to completion.
Bill Reminders
Never miss a payment. Set up reminders for recurring obligations like Rent, Internet, or Tithe.
- Due Dates: Assign specific days of the month.
- Urgency Alerts: Bills due within 7 days are highlighted in Red on your Personal Dashboard.
Recurring Transactions
Automate your financial life. You can set specific transactions to repeat automatically, saving you from manual entry every month.
- Setup: When adding a transaction, or via the Bills settings, toggle "Recurring".
- Frequency: Choose between Weekly (e.g., allowances) or Monthly (e.g., subscriptions).
- Automation: The system will automatically generate the entry on the due date and send a notification.
Personal Dashboard Features
The Family/Personal dashboard is optimized for household budgeting and financial health tracking. It includes several specialized widgets not found in Business mode.
Debt Smash Dashboard
Available exclusively in Personal Mode, this widget tracks your progress in paying off debts. It visualizes your total outstanding balance versus the amount repaid, giving you a percentage "Debt Free" score.
Budget Health Indicators
The dashboard displays progress bars for every expense category (e.g., Food, Transport) that has a monthly limit set in Settings.
Smart Reminders
The system automatically flags recurring bills or debts that are due within the next 30 days. If a bill is due in less than 7 days, it is highlighted in red for urgency.
Family Analytics
Unlike the business view which focuses on P&L, the Family Analysis view breaks down spending by Family Member, allowing you to see who is spending the most on household resources.
Voice AI Tracking
FamilyFin includes a built-in Voice AI to make logging expenses effortless. Instead of typing, you can simply speak your transaction details.
How to use:
- Click the floating Microphone icon on the Dashboard.
- Speak clearly. Include the amount and the item.
- The system will auto-detect the category and amount.
Family Wallet
The Family Wallet is a centralized pool of funds. It can be funded by any member and used to pay for common household bills or services.
Funding Methods
- Mobile Money: Direct debit from MTN, Telecel, or AT wallets.
- Card: Visa/Mastercard top-ups (via TheTeller gateway).
- Voucher: Redeem prepaid vouchers.
Bill Payments & Services
The Payments tab connects directly to major Ghanaian service providers. All payments are secured via TheTeller payment gateway.

Group Susu
FamilyFin digitizes the traditional Susu savings model. Family members can contribute directly from their mobile money wallets into a locked savings goal.
- Goal-Based: Contributions must be linked to a specific Goal (created in Settings > Bills & Goals).
- Transparency: All contributions are logged and visible to the Admin.
- Security: Funds are held in the Family Wallet and earmarked for the specific goal.
Sales & Revenue
Switch to Business Mode via the top-left dropdown to access professional tools. The Sales view provides a comprehensive system for managing client billing.
Invoicing System
Create professional, branded invoices in seconds. Features include:
- Status Tracking: Monitor invoices through their lifecycle: Draft (Internal), Sent (Awaiting Payment), and Paid.
- Client Management: Assign invoices to specific customers for better record-keeping.
- Auto-Calculation: Totals are automatically calculated based on line items and quantities.
Revenue Tracking
The Business Dashboard replaces "Income" with "Revenue." It aggregates all paid invoices to give you a clear picture of your business's top-line performance.
Expenses & Vendors
Keep your business costs separate from personal spending. Use the Expenses (Purchases) view to manage operational costs.
Vendor Bills
Record bills received from suppliers (e.g., Inventory costs, Rent, Utilities).
- Vendor Database: Store supplier details for quick entry.
- Bill Tracking: Log bills as "Open" (Unpaid) or "Paid" to manage cash flow.
- Expense Categorization: Categorize costs (e.g., "Cost of Goods Sold", "Marketing") for accurate tax reporting.
Items & Products
The Items database is the backbone of your invoicing system. Instead of typing descriptions manually every time, you can maintain a catalog of:
- Goods: Physical products you sell (e.g., "Shoes", "Bags of Rice").
- Services: Intangible services (e.g., "Consulting Hour", "Web Design").
Benefit: When creating an invoice, simply select an item from the dropdown, and the price/description will auto-populate.
Tax Configuration
FamilyFin helps estimate tax liability based on your configured country of residence. This is an estimation tool and does not replace professional tax filing.
Supported Regimes
- Ghana (GRA) Uses the graduated income tax brackets (0%, 5%, 10%, 17.5%, 25%, 30%).
- USA (IRS) Federal brackets (10%, 12%, 22%, 24%).
- UK (HMRC) Personal Allowance + Basic (20%) + Higher (40%).
- General Flat rate estimation (configurable).
Managing Members & Users
Collaborate with your family or business partners by adding them to your FamilyFin account. All members share the same financial data based on their permissions.
Adding a Member
Go to Settings > Users and click "Add New User".
- Email Invitation: Enter their email address. They will receive a link to set their password.
- Family vs Business: By default, users are added to the Family view. Toggle "Business Access" to let them see the business dashboard.
Roles & Permissions
Admin
Full control. Can add/remove users, change settings, delete transactions, and export data.
Viewer
Read-only access. Can view dashboards and reports but cannot add transactions or change settings.
Categories & Limits
Customize your financial tracking by defining categories. Proper categorization is essential for accurate reporting and budgeting.
Managing Categories
Go to Settings > Categories.
- Types: Create categories for Income (e.g., Salary, Investments) or Expenses (e.g., Groceries, Rent).
- Customization: You can edit or delete existing categories to match your specific needs.
Setting Budget Limits
Prevent overspending by assigning a Monthly Limit to expense categories.
How Limits Work
If you set a limit of 1,000 GHS for "Food", the dashboard will track your progress throughout the month.
